This Privacy Policy (also referred to as the “Policy”) describes how PetDesk (“us,” “we,” or “our”) collects, uses, discloses, and protects your personal information. It also tells you about the rights and choices you have with respect to your personal information, and how you can reach us to get answers to your questions. Please note, our privacy practices are subject to the applicable laws of the places in which we operate.
1. Personal Information We Collect and Disclose

When you register for our services, schedule appointments, or communicate with us, we collect:- Identifiers: Full name, mailing address, email address, telephone number, emergency contact details
- Pet/Patient Information: Pet name(s), species, breed, date of birth/age, sex, microchip or license number, photograph
- Health & Medical Records: Vaccination history, diagnoses, medications, treatment plans, surgical records, allergy and adverse reaction records, lab and diagnostic results
- Billing & Payment: Credit/debit card or bank account details (processed by our payment processor), billing address, insurance information
- Account Credentials: Username and password for our online client portal
- Personal Information We Collect Automatically:
When you use our website or online portal, we and our service providers may collect:- Analytics and Performance Cookies: Help us understand how visitors interact with the Site by collecting aggregated, anonymized data. We may use third-party analytics tools, including Google Analytics 4, and Google Tag Manager, for this purpose. Google Tag Manager is a tag management system that controls when and how our analytics and marketing scripts load on the Site; it does not independently collect personal information but governs the other tools listed here. Google Analytics 4 is a behavioral analytics tool that use session recordings and heatmaps to help us understand how visitors interact with the Site.
- Functional and Accessibility Tools: We use UserWay, an accessibility widget that helps visitors navigate the Site, including individuals using assistive technology. UserWay is classified as a functional tool necessary for accessibility and Site usability, and is not subject to the opt-in consent requirement.
- Personal Information We Collect From Other Sources
We may receive personal information from the following third party sources:- Referring veterinarians or specialists providing prior medical history;
- Laboratories and diagnostic imaging services;
- Pet health insurance providers;
- Microchip registries and licensing authorities;
- Publicly available sources.
2. How We Use Your Personal Information
We use your personal information for the following purposes:
- Patient Care: Diagnosing, treating, and managing the health of your pet(s); maintaining medical records; coordinating referrals and specialist care;
- Appointment Management: Scheduling, confirming, and sending reminders for appointments and follow-up visits;
- Billing & Payment: Processing payments, submitting insurance claims, and managing accounts receivable
- Client Communications: Responding to inquiries, sending health alerts, wellness reminders, and post-visit surveys
- Marketing, Promotions, and Contextual Advertising in Emails: Sending you newsletters, seasonal health tips, and promotional offers about our services with your consent where required by law. We may also use your personal information to display non-personalized, contextual advertisements in transactional and marketing.
- Legal & Regulatory Compliance: Complying with veterinary licensing laws, controlled substance reporting, mandatory disease reporting, and other legal obligations;
- Security & Fraud Prevention: Detecting, investigating, and preventing fraudulent transactions and other illegal activities
3. Parties to Whom We Disclose Your Personal Information and Reasons Why
- Service Providers. We disclose your personal information to service providers that perform services on our behalf, including customer support, web hosting, software developers, information technology services, database management, direct mail, and email distribution. We authorize certain service providers to use your personal information to deliver non-personalized, contextual advertisements in transactional and marketing emails sent to you on our behalf.
- Affiliates / Subsidiaries. We may disclose your personal information to companies under common ownership or control with us for purposes consistent with this Privacy Policy.
- Corporate Transaction. We disclose your personal information when we believe doing so is reasonably necessary to comply with applicable law or legal process (including an enforceable request from authorities), to respond to claims (including inquiries by you in connection with your purchases from us), enforce or apply our other policies, or to protect the rights, property, or personal safety of us, our users, employees, or others.
- Your Consent or at Your Direction. We disclose personal information to third parties when we have your consent or direction to do so. We may also disclose your data to third parties, such as when you expressly direct us to do so or when you use our products or services to intentionally interact with third parties. In these cases, we disclose your data to carry out your request.
4. Data Retention
We retain your personal information for the period necessary to fulfill the purposes outlined in this privacy policy, unless a longer retention period is required or permitted by law. Please note that in many situations we must retain all, or a portion, of your personal information to comply with our legal obligations; resolve disputes; enforce our agreements; protect against fraudulent, deceptive, or illegal activity; or for another one of our business purposes.

We implement administrative, technical, and physical safeguards designed to protect your personal information against unauthorized access, disclosure, alteration, and destruction. These measures include:

- Access controls limiting personal information to authorized personnel;

- Service provider agreements with our vendors requiring them to maintain appropriate security standards.

- Correct: Fix inaccurate personal information.
- Delete: Request deletion of your personal information.
- Data Portability: Receive personal information in a usable format and transfer it.
- Opt-Out of Sale, Share, and Targeted Advertising: We do not sell or share your personal information or use such information for targeted advertising as those terms are defined under applicable law. Therefore, we do not provide this right at this time.
- Opt-Out of Profiling: We do not engage in “profiling” in furtherance of decisions having legal or similarly significant effects.
- Limit Sensitive Data Processing: We do not currently use sensitive data beyond certain enumerated statutory purposes. Therefore, we do not offer this right at this time.
- Withdraw Consent: Withdraw consent for data processing at any time.

Depending on your state of residence, you permit an authorized agent to submit a request to exercise the rights described above. If you are an authorized agent, you must be able to demonstrate that you have the requisite authorization to act on behalf of the requestor. We reserve the right to deny your request if we cannot verify your identity.

7. Children and Minors
Our website is not intended for or directed to children under the age of 16. We do not knowingly collect or use any information from consumers younger than 16 years of age. We do not knowingly collect personal information directly from children under the age of 16 without parental consent. If we become aware that a child under the age of 16 has provided us with personal information, we will delete the information from our records.
8. California’s “Shine the Light” Law
California’s “Shine the Light” law (Civil Code § 1798.83) permits users of the Services who are California residents to request certain information regarding our disclosure of personal information to third parties for their direct marketing purposes.
